As our Operations Specialist Support, you will be challenged to be creative in supporting our Project Manager for various administrative duties surrounding a project, as well as supporting the daily operations of our company. 

Role description

  • Work closely with the Operations team to ensure smooth day-to-day operations.

  • Perform various administrative tasks to support operational efficiency.

  • Implement and manage a time management system for tracking and optimizing daily activities.
    Communicate with vendors, track their performance, and assist in contract management.

  • Manage vendor invoices and contracts.
    Arrange and assist with the onboarding of new employees, ensuring a seamless integration into the organization.

  • Assist in project management by creating assignments, tracking progress, and resolving issues.

  • Develop and maintain project reports.

  • Collaborate with internal and external stakeholders to ensure project success.
  • Prepare and maintain operations documents and reports.

  • Create analysis reports to support decision-making.

  • Compile meeting minutes, ensuring that key information and action items are documented.

  • Generate reports related to time management system usage and performance.

  • Conduct market research to stay informed about industry trends and competitor activities.

  • Create engaging presentations using PowerPoint (PPT).

  • Develop textual content for the organization's blog, focusing on software-related topics.

  • Communicate with clients to address inquiries, concerns, and requests, maintaining strong client relations.



Competencies

  • Have excellent communication skills both written and verbal and able to communicate with the team

  • Advanced MS Office user

  • Proficient in documentation processes and keeping up with industry trends

  • Experience in CRM Systems

  • Interest in the IT industry and software development

  • Proactive, creative, and initiatives to propose new ideas and solutions to daily challenges
